According to UCSD Policy, "Postdoctoral Scholar appointments are temporary positions with fixed end dates intended to provide a full-time program of advanced academic preparation and research training. Individuals pursuing clinical fellowships and residencies in the health sciences are excluded from appointment to these titles."

The Three Types of Postdoctoral Scholar

1. Postdoctoral Scholar – Employee: an appointment is made in this title when (a) the agency funding the salary requires or permits the appointee to be an employee of the University, or (b) whenever General Funds, Opportunity Funds, or other University discretionary funds are used to support the position. *NOTE* - this title must be used when the salary is funded by a federal research grant.

2. Postdoctoral Scholar – Fellow: an appointment is made in this title when the Postdoctoral Scholar has been awarded a fellowship or traineeship for postdoctoral study by an extramural agency and the fellowship or traineeship is paid through a University account.

3. Postdoctoral Scholar – Paid Direct: an appointment is made in this title when the Postdoctoral Scholar has been awarded a fellowship or traineeship and the extramural agency pays the award directly to the scholar (rather than through the University). They cannot be paid through personal funds (self or family’s).

I.        MAXIMUM LENGTH OF APPOINTMENT

The total duration of an individual’s postdoctoral service may not exceed five years, including postdoctoral service at other institutions. By exception, the Vice Chancellor for Research may grant an extension not to exceed a sixth year.

II.       PERCENT EFFORT AND SALARY RANGE
Appointments must be for 100%, with a minimum annual salary of $37,740.  

III.      CONTENTS OF NEW APPOINTMENT FILE

1. Postdoctoral Scholar - Employee

  1. NEW Postdoctoral Scholar Appointment Form - must be typed
  2. Postdoctoral Academic Biography Form (signed by postdoctoral scholar)
  3. Proof of degree *
  4. Hiring Request Form (must be signed by both mentor and fund manager) 

2. Postdoctoral Scholar - Fellow

  1. NEW Postdoctoral Scholar Appointment Form - must be typed
  2. Postdoctoral Academic Biography Form (signed by postdoctoral scholar)
  3. Proof of degree *
  4. Hiring Request Form (must be signed by both mentor and fund manager)
  5. Proof of funding source (a copy of the award letter is always preferred. If this is not available, provide a statement from the responsible fund manager attesting to sufficient funding. This statement should include the name of the agency or foundation, the fund type <i.e. research grant, discretionary funds, department funds, general funds, opportunity funds> and index number of funding source.)

3. Postdoctoral Scholar - Paid Direct

  1. NEW Postdoctoral Scholar Appointment Form - must be typed
  2. Postdoctoral Academic Biography Form (signed by postdoctoral scholar)
  3. Proof of degree *
  4. Proof of funding source (a copy of the award letter is always preferred. If this is not available, provide a statement from the responsible fund manager attesting to sufficient funding. This statement should include the name of the agency or foundation, the fund type <i.e. research grant, discretionary funds, department funds, general funds, opportunity funds> and index number of funding source.)
  5. Patent Acknowledgment Form

* Note:  One of the following official documents must be attached to the new appointment packet to account for proof of degree:

  • Official diploma from the granting university (certified translation in English if in other language)
  • Official copy of transcripts that indicate degree has been conferred
  • Letter from the Dean or Registrar’s Office indicating that the individual has passed his/her thesis defense and has met all the other requirements for the Ph.D. degree (for those that have not obtained the Ph.D. diploma)

All other documents will not be acceptable for proof of degree. 

Deadline:  The appointment packet should be completed, signed, and submitted to mail code 0603 at least 45 days before the proposed start date for the new appointment, otherwise there might be a delay in paying the scholar on time.  The scholar will be informed of the approval as soon as we obtain the offer letter from the Dean’s Office.  Any questions, please contact Renee at (858) 534-9032 or rhatch@ucsd.edu

IV.       CONTENTS OF REAPPOINTMENT FILE
Postdoctoral Scholar – Employee, Fellow, and Paid Direct

  1. NEW Postdoctoral Scholar Appointment Form - must be typed
  2.  NEW Copy of Annual Review
  3. Hiring Request Form (must be signed by both mentor and fund manager)        
    * not necessary for Postdoctoral Scholar - Paid-Direct
  4. Proof of Funding Source* ( a copy of the award letter is always preferred. If this is not available, provide a statement from the responsible fund manager attesting to sufficient funding. This statement should include the name of the agency or foundation, the fund type <i.e. research grant, discretionary funds, department funds, general funds, opportunity funds> and index number of funding source.)

* only necessary for Postdoctoral Scholar – Fellow and Paid Direct appointments

Deadline:  The reappointment packet should be completed, signed, and submitted to mail code 0603 at least 45 days before the proposed start date for the reappointment (Renee will obtain Dr. Judd’s signature on the Postdoctoral Scholar Appointment Form), otherwise there might be a delay in paying the scholar on time.  Any questions, please contact Renee at (858) 534-9032 or rhatch@ucsd.edu.
